Terms and Conditions

Please read the following Terms and Conditions carefully before registering your child with Flamingo Dance School. By completing registration and agreeing to these Terms and Conditions, you confirm that you have read and accepted the policies below.

Welcome to Flamingo Dance School. These Terms & Conditions are designed to keep our classes safe, happy, fair and well organised for every dancer and family. By registering a dancer with FDS and continuing their place in class, the parent/carer agrees to the Terms & Conditions below.

Please read these terms carefully and keep a copy for your records. FDS may update its policies when reasonably necessary; families will be notified of material changes.

1. Registration, class places and trials

1.1 All dancers must be registered with FDS using the current registration/booking system before attending regular classes.

1.2 A class place is not secured until the required registration and payment arrangements have been completed.

1.3 Trial classes and new-starter arrangements may be offered at FDS's discretion and may be charged separately. A trial does not automatically guarantee an ongoing place if the class is full.

1.4 FDS reserves the right to place or move a dancer into the class considered most appropriate for their age, ability, confidence and development, following discussion with the parent/carer where appropriate.

1.5 Class sizes are limited. If a class becomes full, FDS may operate a waiting list.

2. Monthly fees and payments

2.1 From the 2026/27 school year, the standard monthly class subscription is £43 per dancer, unless a different fee has been specifically agreed for a particular class or service.

2.2 Regular class fees are calculated using 39 teaching weeks across the FDS year and are divided into 12 equal monthly payments. The monthly subscription is therefore not a payment for the exact number of lessons taking place in that particular calendar month.

2.3 Monthly payments continue throughout all 12 months of the year, including August. No regular weekly classes may take place during some school-holiday periods, but the August payment remains due because the annual cost of the 39 teaching weeks has been spread evenly across the year.

2.4 The monthly subscription reserves the dancer's ongoing place in their class.

2.5 Payment is required monthly in advance through the payment method/system specified by FDS. FDS may change its booking or payment provider and will communicate any action families need to take.

2.6 FDS may review and change fees. Reasonable advance notice will be provided before a fee increase takes effect.

2.7 If a payment fails or becomes overdue, the parent/carer remains responsible for the outstanding amount. FDS may contact the family to arrange payment and may suspend or release the dancer's place where fees remain unpaid.

2.8 If you are experiencing difficulty making a payment, please contact FDS as soon as possible so that the situation can be discussed.

2.9 Absence from a scheduled class does not reduce the monthly subscription and missed classes cannot normally be transferred, credited or refunded.

3. Cancelling a dancer's place

3.1 One full month's written notice is required to cancel a regular class place. Notice should be sent by email to info@flamingodanceschool.com.

3.2 Fees remain payable throughout the notice period, whether or not the dancer attends.

3.3 Stopping attendance or cancelling a payment instruction does not constitute notice of cancellation. Any fees due under the notice period remain payable.

3.4 FDS may cancel a class or withdraw a class place where numbers make a class unviable, fees remain unpaid, or continued attendance is not considered appropriate for safety, safeguarding or behavioural reasons. Wherever reasonably possible, FDS will communicate with the family first.

4. Class timetable, venues and cancellations

4.1 FDS will publish class dates, times and venues and will communicate changes as soon as reasonably possible.

4.2 FDS reserves the right to make reasonable changes to class times, venues, class groupings or teaching arrangements where operationally necessary.

4.3 Occasionally a class may need to be cancelled or changed because of circumstances outside FDS's reasonable control, including venue closure or unavailability, severe weather, emergency situations or other unavoidable disruption.

4.4 Because regular fees are based on the annual 39-week programme and spread across 12 months, refunds are not automatically due for isolated cancellations or unavoidable timetable changes. Where FDS is unable to provide a significant part of the agreed programme, FDS will consider an appropriate alternative, credit or other fair arrangement.

4.5 FDS may use a suitably qualified or experienced cover teacher where necessary.

5. Attendance, drop-off and collection

5.1 Dancers should arrive promptly and ready for class. Late arrival can disrupt learning and may prevent a dancer from warming up safely.

5.2 Parents/carers do not normally remain inside regular classes. This supports safeguarding, independence, concentration and a consistent learning environment. Exceptions may be made by FDS for specific events, trial arrangements or individual circumstances.

5.3 Parents/carers are responsible for ensuring their child is safely handed over at the agreed class entrance and collected promptly at the end of class.

5.4 A child will not be permitted to leave alone unless FDS has received a clear prior arrangement from the parent/carer and considers the arrangement appropriate.

5.5 If someone different will collect a child, the parent/carer should inform FDS in advance wherever possible.

5.6 Repeated late collection may be discussed with the parent/carer and could affect the dancer's place if it creates an ongoing safeguarding or staffing issue.

6. Uniform, footwear and belongings

6.1 FDS uniform is strongly encouraged because it helps dancers feel part of the school and allows teachers to see alignment and technique clearly. Any class-specific uniform requirements will be communicated separately.

6.2 Dancers should have the correct footwear for the styles being taught. Where Ballet, Tap, Modern or Jazz are included, FDS will advise families of the appropriate shoes.

6.3 Hair should be securely tied back and kept away from the face.

6.4 Jewellery, watches and accessories that could present a safety risk should not be worn during class unless required for medical reasons.

6.5 Please label shoes, clothing, water bottles and other belongings clearly. FDS cannot accept responsibility for loss of or damage to personal belongings.

6.6 Dancers should bring water where needed. Parents/carers will be advised if food or snacks are appropriate for longer workshops or events.

7. Behaviour, respect and the FDS environment

7.1 FDS aims to provide a positive, encouraging environment in which dancers can grow in confidence, develop their skills and enjoy being part of the FDS community.

7.2 Dancers are expected to listen to teachers, participate appropriately, treat others kindly and follow safety instructions.

7.3 Bullying, intimidation, persistent disruption, aggression or deliberately unsafe behaviour will not be tolerated.

7.4 Where behaviour becomes a concern, FDS will normally work with the dancer and parent/carer to resolve the issue. Serious or persistent behaviour may result in the dancer being removed from a session or, where necessary, their membership being ended.

7.5 FDS expects respectful communication from parents/carers as well as dancers. Abusive, threatening, discriminatory or aggressive behaviour towards staff, dancers, other families or venue staff may result in the family's relationship with FDS being terminated.

8. Health, medical information and safety

8.1 Parents/carers must provide accurate information about any medical condition, allergy, injury, additional need or other matter that may affect a dancer's safe participation, and must keep this information up to date.

8.2 Parents/carers should inform FDS before class if a dancer has a new injury or is temporarily unable to participate fully.

8.3 Dance is a physical activity and carries an inherent risk of minor injury. FDS teachers will take reasonable care to provide appropriate teaching, warm-ups, progression and supervision, but FDS cannot guarantee that injury will never occur.

8.4 In an emergency, FDS will attempt to contact the parent/carer or emergency contact using the details provided. Appropriate first aid and emergency assistance may be sought where necessary.

8.5 Any medication that may be required during a class, workshop or event must be discussed with FDS in advance so that suitable arrangements can be agreed.

9. Physical contact in dance teaching

9.1 Appropriate physical contact may sometimes be used in dance teaching to demonstrate, guide or safely correct posture, alignment, positioning or movement.

9.2 Any physical correction will be relevant to the teaching activity and carried out professionally and appropriately.

9.3 Dancers are encouraged to communicate if they are uncomfortable with physical correction, and parents/carers are welcome to discuss any concerns with FDS.

10. Photography, video and social media

10.1 FDS may take photographs or video during classes, workshops, performances and events for teaching, celebration and promotional purposes only where the relevant consent has been provided.

10.2 Photography/video permissions are managed through the consent information collected by FDS. Parents/carers should contact FDS if they wish to review or change their child's permissions.

10.3 FDS may use approved images or footage on its website, social-media channels, printed promotional material or other FDS marketing.

10.4 Where an external photographer, videographer or media provider is involved, families will be given appropriate information where required.

10.5 At certain performances or events, personal photography or recording may be restricted for safeguarding, licensing or production reasons. Families must follow the instructions provided for that event.

11. Shows, performances, workshops and optional events

11.1 Participation in shows, performances, workshops, parties, medal tests, festivals and other additional events is optional unless expressly stated otherwise.

11.2 Additional events may carry separate charges, including participation fees, costume hire or purchase, tickets, workshop fees, examination/medal fees or other production costs. Full details will be communicated before booking.

11.3 Where participation requires rehearsals, costume fittings, dress rehearsals or other compulsory preparation, families will be given the relevant dates and expectations.

11.4 Event, workshop, costume, ticket and participation payments are normally non-refundable once costs have been committed or a place has been reserved, unless FDS cancels the event or states otherwise at the time of booking.

11.5 FDS may make reasonable changes to choreography, casting, costumes, running orders or performance arrangements in the interests of the production, dancers or safety.

12. Safeguarding

12.1 The safety and wellbeing of dancers is central to FDS. Appropriate safeguarding practices will be followed during classes, rehearsals, performances and events.

12.2 Parents/carers must provide current emergency-contact details and tell FDS promptly if these change.

12.3 Parents/carers should raise safeguarding concerns directly and promptly with FDS so they can be handled appropriately.

12.4 FDS may refuse or discontinue attendance where it reasonably believes this is necessary to protect a dancer, another child, staff member or the wider FDS community.

13. Communication and contact details

13.1 Important FDS information is primarily communicated electronically, including by email and, where appropriate, WhatsApp, the booking system, the FDS website or social-media channels.

13.2 Parents/carers are responsible for providing a current email address and telephone number and for updating FDS if these details change.

13.3 Please check junk/spam folders and read FDS communications, particularly around timetable changes, performances and events.

13.4 Social media may be used for general reminders and celebration, but important individual matters should be discussed directly with FDS.

14. Personal information and privacy

14.1 FDS collects and uses personal information needed to administer classes, communicate with families, process bookings/payments, support safeguarding and provide dance tuition.

14.2 Personal information will be handled in accordance with FDS's applicable privacy/data-protection arrangements and will not be used for unrelated purposes without an appropriate basis.

14.3 Parents/carers are responsible for ensuring the information supplied during registration is accurate and up to date.

15. Flamingo Tots

15.1 Flamingo Tots is designed as an introductory dance and movement class for younger children. The structure, age range, class length, venue and fees may differ from FDS's school-age classes and will be confirmed when booking.

15.2 A parent or responsible carer must remain with their child for the duration of a Flamingo Tots session unless FDS has specifically stated otherwise. The accompanying adult remains responsible for their child outside directed class activities and should support them to participate safely.

15.3 Flamingo Tots is intended to be a relaxed, positive introduction to dance. Young children may need time to settle, observe or join in at their own pace, and this is completely normal. Parents/carers are asked to encourage participation without placing pressure on the child.

15.4 For safety, parents/carers should follow the teacher's instructions and supervise their child closely where an activity involves shared equipment, movement around the room or transitions into and out of the teaching space.

15.5 Children should wear comfortable clothing that allows them to move freely. Any specific footwear, uniform or equipment recommendations will be communicated separately. Hair should be kept away from the face where possible and unsafe jewellery or accessories should be removed.

15.6 Parents/carers must tell FDS about any medical condition, allergy, injury, additional need or other information that may affect their child's safe participation and must keep this information up to date.

15.7 Photography and video at Flamingo Tots will follow the same consent arrangements set out in Section 10 of these Terms & Conditions.

15.8 Where Flamingo Tots is booked as a regular ongoing class, the payment, absence and cancellation arrangements stated at the time of booking will apply. Any Tots-specific payment arrangement communicated at registration will take priority over the standard school-age subscription terms where the two differ.

15.9 FDS may occasionally adapt an activity, ask a child and parent/carer to sit out temporarily, or stop participation where this is reasonably necessary for the safety or wellbeing of that child or others in the session.

16. Changes to these Terms & Conditions

16.1 FDS may amend these Terms & Conditions where reasonably necessary, for example to reflect changes to classes, payment systems, venues, safeguarding practice, legal requirements or the way the school operates.

16.2 Where a change materially affects families, FDS will provide reasonable notice by email or another usual communication method.

17. Agreement

17.1 By registering a dancer, paying for or continuing a class place, the parent/carer confirms that they have read and agree to the current Flamingo Dance School Terms & Conditions.

17.2 These Terms & Conditions should be read alongside any event-specific information, registration consents and other FDS policies that are provided to families.
